Front Desk Representative

  • Receptionist

    GEOKON is a manufacturer of sensors and instrumentation used in civil, mining and structural engineering projects throughout the world.

    We are currently seeking a pleasant Front Desk Representative to undertake all receptionist and clerical duties. You will be the “face” of the company for all visitors and will be responsible for the first impression we make.

    Responsibilities and Duties:

    1. Answers phones in a courteous professional manner and routes calls to the appropriate personnel, takes and relays messages as necessary, and provides basic company information when needed.
    2. Welcomes visitors by greeting, directing and announcing them appropriately.
    3. Prints and assembles product manuals and catalogs.
    4. Maintain training and conference rooms appearance and adequately stocked to ensure that rooms are organized to support the needs of the daily events.
    5. Maintains and orders office supplies.
    6. Maintain magazine racks and reception area with current publications and discard outdated materials.
    7. Assist in the catering for customer training and other visitors.
    8. Maintain the welcome sign/monitor in the reception area in support of visitors.
    9. Receives, sorts, and distributes incoming mail and deliveries. Ensures all outgoing mail has appropriate postage and delivers to post office at end of day.
    10. Assists with a variety of administrative and clerical tasks including copying, binding, faxing, printing, maintenance of files, organization of documents, etc.
    11. Keep front desk and reception area tidy and presentable with all necessary materials.
    12. Assist in organizing events, visitor logistics, luncheons, etc.
    13. Perform related duties as assigned by Supervisor.
    14. Maintain compliance with all company policies and procedures

    Education and/or Work Experience Requirements:

    • High School Diploma or equivalent
    • Minimum of 3 years of relevant office experience

    Skills/Qualifications:

    • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
    • Excellent computer proficiency (MS Office: Microsoft® Word™, Excel®, and Outlook® software)
    • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
    • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices

    Other Requirements:

    • Fluent English language required. Foreign language skills are preferred
    • Resiliency and ability to multi-task
    • Must be authorized to work in the United States
